Overview

The Oprex Open Invoice Report Tool may optionally use artificial intelligence to assist with one specific function: matching invoices to construction projects. This page explains what AI is used, how it works, and what data is involved.

What AI Is Used For

When the tool processes invoice data, it attempts to match invoices to the correct project using deterministic logic (exact name matching, keywords). When this logic is insufficient, and AI matching is enabled, the tool uses AI to analyze invoice descriptions and suggest the most likely project assignment.

AI Provider

We use Anthropic's Claude Haiku model, accessed via the Anthropic API. Claude Haiku is a fast, lightweight language model designed for focused tasks.

What Data Is Sent to AI

When AI matching is used, the following data is sent to Anthropic:

  • Invoice descriptions (text only)
  • Project names and numbers (text only)
  • No personal information is sent
  • No financial amounts or dollar values are sent
  • No file attachments or spreadsheet files are sent

Data Handling by AI Provider

  • Anthropic's API does not use customer data to train its models
  • Data sent via the API is not retained by Anthropic beyond the processing request
  • All communication with the Anthropic API is encrypted via HTTPS

Opt-Out

AI matching is entirely optional and controlled by a server configuration setting. When AI matching is disabled, the tool uses deterministic fallback logic for all invoice matching. The feature has no impact on the tool's core functionality — reports are generated regardless of whether AI is enabled.

Human Oversight

AI-generated project assignments are incorporated into the output report for human review. The tool does not take autonomous action based on AI suggestions. All assignments can be reviewed and corrected by the user in the final report.

Accuracy

AI matching is probabilistic and may not always produce correct results. Users should always verify AI-suggested project assignments before relying on them for business decisions.

Updates to our AI usage practices will be reflected on this page. We will update the "Last Updated" date when changes are made.
